Job Summary:

We are looking for a reliable and detail-driven Payroll & Benefits Administrator to manage all aspects of employee compensation, tax reporting, and benefits coordination. This role plays a key part in ensuring payroll accuracy, maintaining compliance with tax regulations, and supporting accounting operations related to employee compensation.

 

  • Payroll Processing:
    Manage full-cycle payroll for W-2 employees, ensuring accuracy, compliance, and timely processing.

  • Tax Reporting & Compliance:
    Handle all payroll tax submissions, including federal, state, and local filings. Ensure timely preparation and submission of quarterly and annual tax reports (e.g., 941s, W-2s, etc.).

  • Benefits Administration:
    Administer employee benefits including health, dental, vision, and 401(k) plans. Track enrollments, changes, and terminations.

  • 401(k) Contributions:
    Oversee 401(k) deferrals and employer contributions, process uploads to provider, and ensure compliance with plan requirements.

  • Workers' Compensation:
    File and manage workers' compensation claims. Act as the point of contact with insurance carriers and follow up on open claims.

  • Employee Onboarding (Payroll-Specific):
    Set up new employees in payroll and benefits systems. Collect and verify all required tax and employment forms (e.g., W-4, I-9).

  • Accounting Support:
    Assist with payroll-related journal entries, reconciliations, and month-end reporting as needed.

  • Documentation & Recordkeeping:
    Maintain accurate and confidential payroll records, audit reports, and employee compensation files.


Qualifications:

  • 2+ years of experience in payroll, benefits administration, or accounting

  • Strong knowledge of payroll tax regulations and multi-state payroll practices

  • Experience working with payroll systems (e.g., ADP, Paychex, Gusto, QuickBooks, etc.)

  • Understanding of W-2 processing and year-end reporting requirements

  • Familiarity with 401(k) plan administration and workers’ compensation processes

  • Excellent attention to detail and ability to manage sensitive information

  • Proficient in Microsoft Excel and accounting software

  • Associate’s or bachelor’s degree in Accounting, Finance, or related field preferred
