Role Overview:

As an Office Administrator, you will be the backbone of our office operations, ensuring that everything runs smoothly from day to day. You will manage daily office activities, handle communication across multiple channels, and support the dispatch process to coordinate services or shipments. This role is ideal for someone who is adaptable, has strong organizational skills, and is comfortable working in a fast-paced environment. Key Responsibilities:

Office Administration:

  • Perform general administrative duties such as answering phones, responding to emails, maintaining office supplies, and managing correspondence.
  • Prepare and file documents, create reports, and assist with various office tasks to ensure smooth daily operations.

Dispatch Coordination:

  • Assist with dispatching services, deliveries, or shipments, ensuring accurate scheduling and routing.
  • Communicate with drivers, contractors, or service teams to confirm delivery/pick-up times and routes.

Vendor & Customer Communication:

  • Coordinate with vendors and customers to confirm scheduling, shipments, or service delivery.
  • Maintain strong customer service relationships by responding to inquiries and resolving concerns promptly.

Data Management & Reporting:

  • Input dispatch and service data into company systems, ensuring accurate records.
  • Prepare dispatch logs, status updates, and reports as needed for management.

Qualifications:

  • 4+ years of office administration experience. Dispatch experience a plus.
  • Experience working in a logistics, or transportation environment a plus.
  • Transportation Management Software experience a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and dispatch software (e.g., route planning, scheduling, or logistics management tools).
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
  • Detail-oriented with a focus on accuracy and efficiency.
  • Strong decision-making skills and a proactive approach to problem-solving.

Job Types: Full-time, Temporary

Pay: From $18.00 per hour

Expected hours: 40 per week

Schedule:
