 Job Title: Administrative Dispatch
Location: La Porte, Texas
Reports to: Express Employment Professionals

An Administrative Dispatch position plays a critical role in ensuring safe, efficient, and compliant delivery of hazardous materials. The role demands strong organizational skills, the ability to handle logistics challenges, and a commitment to safety and customer service. 

Key Responsibilities:
  1. Dispatch Coordination:

    • Schedule and dispatch drivers for bulk chemical transportation routes, ensuring efficient and timely deliveries.
    • Monitor and track shipments in real-time, adjusting schedules or routes as necessary to address delays, traffic issues, or other unforeseen challenges.
    • Communicate with drivers to provide instructions, updates, and assistance during deliveries.
  2. Customer Communication:

    • Serve as the primary point of contact for customers regarding delivery status, shipping inquiries, and transportation-related concerns.
    • Coordinate with customers to confirm delivery details and address any special requirements for chemical shipments (e.g., handling instructions, delivery windows).
    • Provide exceptional customer service by resolving any delivery issues or discrepancies in a timely and professional manner.
  3. Safety and Compliance:

    • Ensure that all shipments comply with industry safety standards, regulations, and environmental guidelines (e.g., OSHA, DOT, hazardous materials regulations).
    • Verify that all drivers are following safety protocols and handling hazardous chemicals properly.
    • Maintain accurate records of compliance documentation, including manifests, safety sheets, and permits.
  4. Route Optimization and Planning:

    • Plan and optimize routes to minimize delivery time and fuel costs while considering factors such as traffic, weather, and delivery priorities.
    • Monitor routes to ensure drivers are staying on schedule, adjusting delivery assignments as necessary.
  5. Driver Support and Management:

    • Communicate with drivers throughout the day to provide updates, assist with issues, and ensure that the drivers are following company policies and procedures.
    • Provide direction on potential delays, route changes, or customer-specific requests.
    • Assist in the dispatch of emergency or unscheduled deliveries as needed.
  6. Documentation and Record-Keeping:

    • Maintain accurate logs of all shipments, including delivery times, customer requests, and any issues encountered.
    • Process and file all necessary shipping documentation, including bills of lading, manifests, and delivery receipts.
    • Prepare reports on transportation activities, including delivery times, fleet utilization, and customer satisfaction.
  7. Coordination with Internal Teams:

    • Work closely with the operations, warehouse, and logistics teams to ensure smooth communication and efficient operation of the transportation process.
    • Provide timely updates on fleet availability and customer orders to the relevant departments.
    • Coordinate with the maintenance team to ensure the fleet is properly maintained and ready for use.
  8. Fleet Management:

    • Monitor and track fleet availability, ensuring that vehicles are properly scheduled for maintenance and repairs.
    • Assist with coordinating routine fleet inspections and ensuring that vehicles comply with regulatory standards.
  9. Inventory and Supply Chain Support:

    • Coordinate with warehouse and inventory management teams to ensure that shipments are loaded with the correct products and meet all quality and safety standards.
    • Assist with inventory tracking to ensure products are properly documented during transportation.
  10. Problem Resolution:

    • Handle any issues related to delays, accidents, or damaged goods in transit, ensuring effective resolution while keeping customers informed.
    • Coordinate with other departments and external parties to resolve issues and maintain customer satisfaction.
Skills & Qualifications:
  • Strong Communication Skills: Ability to effectively communicate with drivers, customers, and internal teams.
  • Organizational Skills: Exceptional multitasking skills and attention to detail to handle dispatch operations, documentation, and customer communication.
  • Knowledge of Safety and Compliance Regulations: Familiarity with safety standards, chemical transportation regulations (e.g., DOT, hazardous material handling), and environmental compliance.
  • Problem-Solving Abilities: Ability to think on your feet, adjust schedules, and resolve issues quickly while maintaining customer satisfaction.
  • Technical Skills: Proficiency with dispatching software, Microsoft Office Suite, and general office equipment.
  • Customer Service Skills: A focus on delivering excellent service and responding to customer needs in a timely and professional manner.
  • Ability to Handle High-Pressure Situations: Able to manage stress during busy times and make quick decisions to keep operations running smoothly.
Education & Experience:
  • Education: High school diploma or equivalent (required). Additional certifications or training in logistics, transportation, or hazardous materials handling is a plus.
  • Experience: 2+ years of experience in dispatch, logistics, or administrative roles, preferably within transportation, chemical, or manufacturing industries.
 
Working Conditions:
  • Administrative dispatchers may be required to work on weekends or holidays depending on the schedule and transportation needs.
