Position Title: Office Support Specialist
Work Schedule: Monday to Friday, 8:00 AM - 5:00 PM
Dress Code: Business Casual


Job Description:

We are seeking a detail-oriented and professional Office Support Specialist to join a dynamic and established company. The ideal candidate will possess strong soft skills and be proficient in various administrative tasks. You will be the face of the company, interacting with clients and colleagues, ensuring the smooth operation of daily office activities.


Responsibilities:

  • Phone Support: Answer incoming calls professionally and direct them as needed.
  • Filing & Document Management: Organize, file, and maintain office records and correspondence.
  • Mail Handling: Sort and distribute incoming mail; prepare outgoing mail and packages.
  • Office Supplies Management: Monitor and restock office supplies as needed, ensuring the office runs smoothly.
  • Bank Deposits: Prepare and make regular bank deposits for the company.
  • Excel Tasks: Assist with formatting, copying/pasting, and manipulating spreadsheets. Generate and analyze reports, such as the accounts receivable aging report.
  • Customer Communication: Contact customers to follow up on outstanding account receivables in a courteous and professional manner.

  • Strong interpersonal skills and excellent manners when interacting with clients, vendors, and team members.

Hard Skills:

  • Proficient in Microsoft Excel, with experience formatting, manipulating worksheets, and running reports.
  • Ability to answer phones and manage inquiries effectively.
  • Strong organizational skills, with a focus on filing, sorting mail, and maintaining office systems.
  • Experience in managing accounts receivable, including generating aging reports and contacting clients regarding outstanding balances.

Experience & Requirements:

  • Previous office experience preferred, but not required.
  • Must be able to work independently and manage multiple tasks with a high level of accuracy and attention to detail.
