Job Overview
We are seeking a highly organized, detail-oriented, and proactive Office Manager to oversee the daily administrative operations of our office in Dallas, Texas. In addition to traditional office management duties, this role will include responsibilities for Know Your Customer (KYC) processes, compliance tasks, and support of the accounting/finance function. The ideal candidate will have a strong background in office management, with a further familiarity with basic accounting and regulatory compliance, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Office Management
• Oversee and manage day-to-day office operations, including supplies, facilities, and vendor management. Manage office move (January 2028).
• Coordinate office schedules, subscriptions, meetings, and events (including annual company/investor outings), ensuring smooth operations and timely communication.
• Serve as the main point of contact for staff and visitors, fostering a positive office environment.
• Handle confidential and sensitive information with discretion and professionalism.
Bookkeeping and Financial Support
• Perform basic bookkeeping tasks as needed, including support of accounts payable/receivable, payment processing, and bank reconciliations.
• Assist with expense reimbursement for employees (e.g., SAP Concur).
• Assist finance team with ad hoc projects.
• Liaise with external accountants or auditors as needed.
Know Your Customer (KYC) and Compliance
• In partnership with the Chief Compliance Officer, conduct KYC verification processes for clients and partners, ensuring adherence to company policies and regulatory requirements.
• Maintain accurate and up-to-date client records, including documentation of identification and risk assessments.
• Monitor and enforce compliance with relevant local, state, and federal regulations.
• Assist in creating and updating compliance policies and procedures as needed.
• Provide support for audits and regulatory inspections.
Qualifications
Required Skills and Experience
• Proven experience in office management, bookkeeping, and/or compliance roles (3+ years preferred).
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
• Knowledge of KYC processes and compliance regulations, particularly in relevant industries (e.g., finance, legal, or similar).
• Strong organizational and multitasking skills with keen attention to detail.
• Excellent verbal and written communication skills.
• Ability to work independently and manage competing priorities effectively.
Preferred Qualifications
• Bachelor’s degree in business administration, accounting, or a related field.
• Familiarity with regulatory compliance frameworks such as AML (Anti-Money Laundering) and GDPR.
• Experience in a financial, legal, or regulated environment is a plus. Interest in aviation industry is a plus.
• Certification in bookkeeping or compliance (e.g., CB, CAMS) is advantageous.
