Title: Office Admin/Sales
Reports to: Owner and Manager
ESSENTIAL DUTIES AND RESPONSIBILITIES
Include the following. Other duties may be assigned.
Answer, forward, and screen phone calls. The office administrator is required to answer the phone on the first ring.
Monitor voicemails regularly (at least twice daily) and respond and/or route in a timely manner. Be the first to respond to the email messages.
Greet visitors upon entry with a positive, helpful attitude. Stand up and walk to them immediately and assist or direct them to the appropriate person.
Answer questions and find information for employees, vendors, and customers.
Monitor email accounts for assigned email and for service. Respond to all emails before the end of day.
Sort and distribute mail.
Process daily deposit including bank deposit, at end of day.
Support employees by facilitating interdepartmental communications and interactions between internal and external parties.
Assist colleagues with administrative tasks.
Purchase office supplies and equipment and maintain proper stock levels.
Register new sold equipment with Ferris, Redmax, Makita, Husqvarna, and Bobcat..
Complete rental quotes and contracts. Obtain all required signatures, information, and payment. Track and follow-up with pending rentals.
Monitor upcoming rentals and coordinate preparation with service manager.
Process payments for rentals, service, and parts.
Monitor and maintain company portal. Communicate with staff regarding status and update and add notes accordingly.
Collect payments for past due invoices.
Become knowledgeable on equipment, parts, and pricing.
Assist with new & used equipment sales and parts sales.
Work with service manager to create service estimates, invoices, and customer updates.
Place parts orders as needed.
Invoice vendors and other dealers for direct parts orders.
Qualifications:
- Excellent personal computer skills – spreadsheet, word processing
- Ability to thrive and perform in a flexible, fast-paced environment
- Strong oral and written communication skills
