Job Full Description

We are seeking an experienced and detail-oriented Office Manager for a thriving tax office in Plano, Texas. This role is ideal for professionals with a strong background in QuickBooks, bookkeeping. A minimum of 2 years of relevant experience is required.


Key Responsibilities:

  • Office Management & Administrative Support:

    • Oversee daily office operations in a fast-paced environment.
    • Manage office supplies, equipment, and vendor relationships to support an efficient workplace.
    • Maintain accurate digital and physical filing systems for client and office records.
  • Bookkeeping & Financial Management:

    • Maintain accurate financial records and process invoices using QuickBooks.
    • Manage accounts receivable, bank deposits, and assist in financial reporting.
    • Ensure compliance with accounting procedures and tax regulations.
  • Audit Coordination & Client Engagement:

    • Download and manage weekly audit lists from the Comptroller website.
    • Create and maintain AIP & AC audit lists to track compliance and audit results.
    • Collaborate with external resources and import lead data into the Lead Management System.
    • Prepare and send engagement letters to prospective clients and process new client engagements.
  • Event Coordination:

    • Assist in planning and executing team trainings, client events, and office functions.
    • Coordinate event logistics, scheduling, and communications to ensure successful events.

Qualifications:

  • Required:

    • Minimum of 2 years of experience in office management, financial administration, or a related field.
    • Proficiency in QuickBooks and strong financial management skills.
    • Experience in bookkeeping, audit coordination, and client engagement.
    • Excellent organizational, multitasking, and communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Preferred:

    • Experience in an accounting, tax, or financial services environment.
    • Familiarity with audit procedures and compliance requirements.
    • Previous experience in office management or similar administrative roles.
