Position Summary: We are seeking a detail-oriented and professional Administrative Assistant to join the office team. This individual will play a critical role in ensuring smooth daily operations, providing exceptional client service, and supporting project managers with administrative tasks related to remodeling projects.
Pay Rate: $18.00 – $20.00 Hourly, Depending on Experience
Schedule: Monday-Friday, 8:00 AM – 5:00 PM
Key Responsibilities:
- Answer and direct incoming calls professionally, provide accurate information to clients, and handle inquiries promptly and efficiently.
- Accurately input client and project information into the company database, ensuring all data is up-to-date and free of errors.
- Organize and schedule client appointments and meetings for project managers and team members, maintaining an organized and accessible calendar.
- Manage and organize sensitive client and project documents, ensuring confidentiality and proper filing protocols.
- Greet clients and visitors warmly, offer assistance as needed, and maintain a welcoming reception area.
- Assist the office team with preparing reports, maintaining office supplies, managing correspondence, and handling other administrative tasks as needed.
- Relay messages, respond to emails, and ensure timely follow-up with clients and staff.
- Collaborate with project managers to facilitate seamless scheduling and updates on ongoing remodeling projects.
- Maintain detailed and accurate records of client communications, appointments, and project statuses for reporting and reference purposes.
- Ensure compliance with company policies, especially regarding the handling of sensitive and confidential information.
Qualifications:
- Proven experience in an administrative or customer service role, preferably within the construction or remodeling industry.
- Strong organizational and multitasking skills with a keen eye for detail.
- Excellent verbal and written communication skills.
- Advanced proficiency in Microsoft Excel, including the ability to create and manage spreadsheets, analyze data, and generate reports.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management.
- Ability to handle sensitive information with confidentiality and discretion.
- Friendly and professional demeanor with a commitment to providing exceptional customer service.
- Strong problem-solving skills and the ability to work effectively in a team environment.
