Now Hiring: Service Dispatch Coordinator for a Leading HVAC and Plumbing Company in Round Rock!

Are you ready to join a rapidly growing HVAC and Plumbing company serving the greater Austin area? We’re seeking a detail-oriented and organized Service Dispatch Coordinator to help ensure that work orders are accurate and efficiently managed across multiple departments and crews. Think of this role as the backbone of the operation—helping the team get the correct information before heading out to tackle the day’s challenges!

Work Schedule: Monday through Friday, 8:00 am – 5:00 pm

What We’re Looking For:

  • 2+ years of experience in Customer Service or Dispatching.

  • HVAC or Plumbing industry experience is highly preferred.

  • Strong organizational and prioritization skills.

  • Excellent customer service and communication skills.

  • Ability to stay calm and work efficiently under pressure.

  • Proficiency in MS Excel and Word.

  • Outstanding written and verbal communication skills.

Job Highlights:

  • Assess job progress throughout the workday to coordinate with technicians and adjust as needed.

  • Dispatch technicians while prioritizing and adjusting schedules based on changes.

  • Follow up on incomplete jobs daily to ensure completion.

  • Debrief calls to confirm proper billing and that work was completed to customer specifications.

  • Review and post daily transactions to jobs.

  • Process payroll and issue purchase orders as needed.

  • Maintain accurate work order information and ensure proper billing details.

  • Ensure accurate pricing, tax, and relevant documentation on work orders.

  • Compile reports on completed work orders and maintain job records.

  • Respond to customer inquiries promptly and professionally.

  • Track the status of work orders through the billing process to ensure everything is in order.
