Job Full Description
Key Responsibilities:
Essential Functions:
- Act as the primary point of contact between the executive team and internal/external stakeholders.
- Manage the Executive's calendar, schedule meetings, and coordinate travel arrangements.
- Completing and submitting expense reports for processing.
- Organize and maintain files and records.
- Prepare and edit correspondence, reports and presentations.
- Screens incoming calls to the president, determining the nature of the call, takes messages and maintains contact lists, and, whenever possible, responds to the caller directly based on knowledge of the president's preferences or instructions.
- Manages all visiting members and guests and handles all of their needs for their stay as requested.
- Assist with event planning and implementation.
- Conduct research and compile data for reports.
- Organize travel arrangements for executives for business-related travel when requested.
- Monitor and maintain office supplies, track status, orders, and purchases, and distribute as needed.
- Perform work-related errands as requested, such as going to the post office and bank.
- Coordinates and organizes meetings, as well as other activities and functions.
- May schedule or obtain use of rooms and may set up rooms and equipment for use.
- Performs other duties as assigned.
Skills and Abilities:
- Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and Written communication skills.
- Proven experience as an Executive Assistant or similar role.
- Outstanding organizational and time management abilities.
- Work requires continual attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
- Assure discreet handling of all business communications.
- Must work in a fast-paced environment with demonstrated ability to cope with multiple competing tasks and demands.
- Chinese and/or Korean language skills are a plus
Education and Experience:
- Bachelor's degree preferred but not required.
- Business College training is an advantage.
Physical Demands:
- Frequently lifts, carries, moves, and positions objects weighing up to 25 pounds unassisted, when performing essential job functions.
- Typically, bends, stoops, crouches, ascends, and descends regularly, when performing essential job functions.
- Constantly observes, assesses, inspects, communicates, detects, conveys, and exchanges information when performing essential job functions.
