Office Manager 

 

Job Summary

We are seeking a skilled and experienced Office Manager to oversee and manage the daily operations of our company. The candidate will be responsible for ensuring the smooth functioning of the office environment, coordinating administrative activities, and providing support to employees across various departments. The Office Manager will play a crucial role in maintaining a productive and efficient workplace and will demonstrate integrity, accountability and transparency.

 

 

Key Responsibilities:

 

  1. Manage and supervise office administrative staff, including receptionists, administrative assistants, and clerical support personnel
  2. Coordinate office activities and operations to ensure efficiency and compliance with company policies
  3. Oversee office budget and expenses, including monitoring costs and recommending cost-saving measures
  4. Manage office supplies, equipment, and facilities maintenance
  5. Handle office communications, both internal and external, including answering phone calls, responding to emails, and greeting visitors
  6. Coordinate and schedule meetings, appointments, and events as needed
  7. Maintain office filing systems and records, both physical and electronic
  8. Assist with HR functions, such as onboarding new employees, assisting with payroll functions and benefits
  9. Collaborate with department heads to support their administrative needs and facilitate cross-functional communication
  10. Ensure compliance with all company policies, procedures, and regulations

 

 

 

 

Qualifications:

 

 

  1. Minimum of 5 years of experience in office management or administrative role
  2. Strong organizational and multitasking skills
  3. Excellent communication and interpersonal abilities
  4. Proficiency in Microsoft Office suite, QuickBooks Online, SharePoint and work management software
  5. Ability to handle confidential information with discretion
  6. Problem-solving and decision-making abilities
  7. Knowledge of HR practices and procedures is a plus
  8. Experience working in a fast-paced, dynamic environment
  9. Bachelor's degree in Business Administration, Office Management, or related field a plus
