Job Full Description
We are seeking a dedicated and highly organized Project Coordinator to join our team. The ideal candidate will assist in managing the day-to-day activities of the project, ensuring that tasks are completed on time, within budget, and to the highest quality standards. The Project Coordinator will support the Project Manager in the planning, execution, and tracking of project deliverables and will be a key point of contact for all project stakeholders.
Key Responsibilities:

Project Planning:
- Assist in developing comprehensive project plans, timelines, and work breakdown structures (WBS) to ensure smooth project execution.
- Collaborate with team members and stakeholders to ensure alignment on project objectives and deliverables.

Task Management:
- Coordinate and assign tasks to team members based on their skillsets and project priorities.
- Track and monitor progress against project schedules, ensuring tasks are completed on time.
- Flag potential delays and proactively seek solutions to keep the project on track.

Budget Management:
- Monitor project expenses, ensuring adherence to the allocated budget.
- Identify and report cost overruns and propose cost-saving measures where applicable.
- Create and process change orders when needed, ensuring that no work is performed until customer approval is granted in writing.

Communication:
- Serve as the primary communication link between project team members, customers, and the project manager.
- Ensure clear, transparent, and consistent communication to all stakeholders.
- Facilitate project meetings, ensuring key decisions and actions are documented.

Risk Management:
- Identify potential project risks, including schedule, quality, and financial risks.
- Develop and implement strategies to mitigate risks.
- Monitor risk factors throughout the project lifecycle, making adjustments to the plan as necessary.

Quality Assurance:
- Ensure that all project deliverables meet agreed-upon quality standards.
- Perform daily field inspections and document inspection results.
- Take proactive steps to address any quality concerns as they arise.

Reporting:
- Prepare and present regular project status updates to customers, ensuring they are informed about progress, challenges, and resolutions.
- Create and maintain project reports, including performance metrics and project milestones.

Administrative Tasks:
- Manage project documentation, ensuring proper organization, version control, and accessibility.
- Schedule and coordinate project-related meetings.
- Assist in the creation of reports, presentations, and other administrative tasks as required.

Team Support:
- Provide support to team members by addressing issues, concerns, and challenges.
- Foster a collaborative environment, encouraging teamwork and communication among all project stakeholders.
- Act as a resource to ensure the smooth execution of project tasks and processes.
Required Skills and Qualifications:
- Bachelor’s degree in Project Management, Business Administration, or a related field (or equivalent work experience).
- Proven experience in project coordination or a similar role.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Experience with budget management and cost control.
- Ability to identify, analyze, and mitigate project risks.
- High attention to detail and a focus on quality.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, etc.) and project management tools (e.g., MS Project, Trello, or similar).
- Ability to work collaboratively in a team environment.
