Job Summary: The Front Office Coordinator will be the first point of contact for visitors and clients, ensuring a professional and welcoming atmosphere. This role is pivotal in managing the day-to-day operations of the front office, including handling administrative tasks, coordinating communication, and providing support to various departments.

Key Responsibilities:

  • Reception Duties: Greet and assist visitors and clients in a friendly and professional manner. Answer and route phone calls, handle inquiries, and manage appointment scheduling.

  • Administrative Support: Perform general office duties such as filing, data entry, and managing office supplies. Assist with preparing reports, correspondence, and presentations as needed.

  • Communication Management: Manage and direct incoming and outgoing mail and packages. Maintain accurate and up-to-date contact lists and coordinate internal and external communications.

  • Office Coordination: Oversee the maintenance and cleanliness of the front office area. Coordinate with building management and vendors for office repairs and services.

  • Event and Meeting Support: Organize and schedule meetings, conferences, and company events. Prepare meeting rooms and provide necessary materials and refreshments.

  • Customer Service: Address and resolve client and visitor concerns promptly and professionally. Ensure a positive experience for all guests and stakeholders.

  • Record Keeping: Maintain and update company records, including contact information, visitor logs, and administrative files.

Qualifications:

  • Education: High school diploma or equivalent required; associate’s degree or higher preferred.

  • Experience: Previous experience in an administrative or front office role is highly desirable.

  • Skills: Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (printers, fax machines, etc.). Strong organizational skills and attention to detail.

  • Attributes: Professional demeanor, strong problem-solving abilities, and the capability to multitask in a fast-paced environment.

  • Additional Requirements: Ability to work collaboratively with team members and adapt to changing priorities. Reliable and punctual with a positive attitude.
