Position Overview:

As the Front Office Coordinator, you will be the first point of contact for clients (businesses) and candidates (job seekers), providing exceptional service and administrative support. Your role will involve assisting with staffing tasks, including candidate onboarding, scheduling interviews, and data entry, all while maintaining a positive and professional atmosphere.

Key Responsibilities:

  • First Impressions: Greet and assist visitors, clients, and candidates with a friendly and professional demeanor. Act with urgency while maintaining patience in all interactions.
  • Customer Service: Answer phone calls, direct inquiries, and provide information promptly and accurately.
  • Administrative Support: Handle a large volume of data entry, review applications, schedule interviews, file, scan / upload documents, audit files for compliance, E-Verifying new hires, etc. Post job ads.
  • Staffing Assistance: Collaborate with internal team members, candidate onboarding, interview coordination, work closely with decision makers when other team members are not available, make reference check calls, coach associates with attendance or tardiness issues, etc.
  • Computer Proficiency: This role requires extensive computer skills as all interactions must be documented while cross-referencing multiple systems in a fast-paced environment. “Document it or it didn’t happen” is the moto here. Typing at a minimum of 50 words per minute is required. You will frequently help associates/job seekers troubleshoot online timecards or electronic onboarding.
  • Creativity: Create job images for ads to share on social media using design programs.
  • Attention to Detail: Maintain a neat, welcoming, and organized office environment.
  • Supplies: Maintain stock of paperwork, keep folders stuffed, etc.
  • Dress Code: Business professional.

Qualifications:

  • Solid front desk experience, or those with extensive outbound call center experience are strongly encouraged to apply.
  • Type 50 words per minute.
  • Energetic / bubbly personality to make callers feel welcome.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and pick up quickly on new programs.
  • Social Media presence is required as you will recruit through Facebook, LinkedIn and other platforms.
  • Fluent in English both in speaking and corresponding professionally.
  • Strong organizational skills with the ability to multitask effectively.
  • A pre-employment background check and skills testing will be part of the hiring process.
