Duties:
Office Management:
-
- Oversee daily office operations, including facility management, administrative support, and office supply inventory.
- Manage activities, coordinate internal communications, and maintain both physical and digital filing systems.
- Organize company events, meetings, and employee engagement activities to foster a productive work environment.
- Liaise with vendors, service providers, and maintenance teams to ensure the office is safe, efficient, and well-equipped.
Executive Assistance:
-
- Provide comprehensive support to the executive team, including managing calendars, arranging travel, and coordinating meetings.
- Prepare, edit, and distribute correspondence, presentations, and reports with a high level of accuracy and professionalism.
- Serve as a liaison between executives and internal/external stakeholders, ensuring clear and effective communication.
- Prioritize and manage multiple projects, adapting quickly to changing priorities and deadlines.
Purchasing:
-
- Manage procurement processes for office supplies, equipment, and production-related materials to support business operations.
- Source, negotiate, and establish strong relationships with suppliers to secure quality products at competitive prices.
- Monitor inventory levels and forecast purchasing needs, collaborating with cross-functional teams to align supply with demand.
- Ensure compliance with company purchasing policies and maintain detailed records of all procurement activities.
Qualifications:
- Proven experience in office management, executive assistance, purchasing, or a related combination of roles.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong communication and interpersonal skills to effectively collaborate with team members and stakeholders.
- Demonstrated problem-solving skills, meticulous attention to detail, and a proactive, results-driven approach.
- Proficiency in Microsoft Office Suite; experience with procurement and office management software is a plus.
