Administrative Assistant Job Highlights:

Schedule: Full-time, 1st shift, hours between 8:00 am – 5:00 pm Monday-Friday

Pay: $18-24 per hour, depending on experience

Administrative Assistant Job Summary:

As an Administrative Assistant, you will be responsible for providing exceptional service to clients and ensuring a positive, welcoming atmosphere. In addition to direct client-facing duties, this role also involves assisting in marketing initiatives and supporting the overall growth of the firm’s vision. The ideal candidate is personable, professional, and committed to making every client feel valued and cared for.

Administrative Assistant Job Duties:

Answer and route incoming calls, addressing client inquiries and ensuring their needs are met promptly.

Welcome clients into the office, ensuring a warm and inviting experience from arrival to departure.

Manage and process incoming and outgoing mail, ensuring timely communication with clients.

Respond to general email inquiries, providing clear and professional assistance.

Assist with scheduling client appointments and maintaining an organized calendar.

Oversee the upkeep of office supplies and maintain the cleanliness of shared spaces, including the lobby and conference rooms.

Prepare conference rooms for client meetings, ensuring all materials and technology are set up and functioning.

Collaborate with the Relationship Manager to assist with marketing efforts and client appreciation initiatives.

Provide support to clients with online account set up and troubleshooting.

Maintain the office phone system, including voicemail greetings and message management.

Coordinate office maintenance, such as scheduling cleaning services, pest control, and general repairs.

Create client-facing reports and assist with meeting preparation and follow up tasks.

Professionally handle client interactions both in person and over the phone.

Manage operational tasks such as document scanning, filing, and record-keeping.

Develop and maintain organized systems for managing office activities.

Perform basic compliance-related duties as required.

Assist the team with other tasks as directed by advisors and operations team members.

Administrative Assistant Job Requirements:

Excellent organizational skills and the ability to manage multiple tasks effectively.

Ability to work independently and as part of a collaborative team.

Interest in financial services and a basic understanding of financial markets is a plus.

High school diploma or equivalent required.

Helpful:

Bachelor's degree in finance, communications, or related field

Prior office or administrative experience in a client-facing role
