A Green Bay area religious institution is looking for a self-motivated administrative assistant to join their team! The Administrative assistant will report to the Director of Facilities and Properties overseeing office operations, serving as a resource for both the parish and schools, and providing back up support for the mail/clerk purchasing coordinator and supply management systems.

Administrative Assistant Primary Responsibilities:

  • Attend faith-based retreats, seminars, and discussions.
  • Provide administrative support to the Director of Facilities and Properties
  • Manage confidential correspondence and materials.
  • Prepare statistical reports, including graphs and GIS mapping.
  • Coordinate meeting arrangements for internal and external stakeholders.
  • Assist with commercial real estate and tax reporting.
  • Prepare supply reports for Finance & Accounting
  • Oversee annual RFP’s or service contracts (e.g., print companies, insurance vendors)
  • Guide parishes and schools through the proxy process, ensuring completeness of materials.
  • Assist with the contract review process and property lease renewals.
  • Oversee cemetery certification and related database management.
  • Support purchasing and inventory systems.
  • Fulfill mail clerk / purchasing coordinator duties when needed.
  • Share responsibility for managing conference room bookings.
  • Collaborate with contract personnel for smooth office operations.
  • Process detailed bills for all campus departments, ensuring proper coding and approvals.
  • Work with the Mail Clerk to coordinate mail and copier services.
  • Provide support during the absence of the Mail Clerk/Purchasing Coordinator
  • Assist with the recording and hospitality for meetings.
  • Provide basic guidance on construction contracts, lease agreements, and insurance matters.
  • Maintain and update insurance binders.
  • Ensure timely submission of timecards for Facilities and Properties
  • Manage key assignments for HR and support facility maintenance requests.
  • Serve as the main contact for multi-function devices.

Administrative Assistant Qualifications:

  • Associates degree required, with 2-3 years of experience in administrative support.
  • Bachelor's degree preferred.
  • Advanced proficiency in Microsoft Office, including Access, Word, and Excel
  • Familiarity with GIS mapping systems is a plus.
  • Strong knowledge of grammar, spelling, and punctuation
  • A valid driver’s license is required.
