Job Full Description
We are seeking candidates for a part-time Accounting Assistant/Bookkeeper role for our client, a growing engineering firm on the West side of Madison.
This is a new position that will support the Accounting team. There is potential for the role to move to full-time over time for interested candidates.
Job Summary: As a Bookkeeper/Accounting Assistant, you will be responsible for maintaining accurate financial records, ensuring compliance with company policies, and providing excellent service to both internal teams and external clients.
Key Responsibilities:
- Reconcile Bank Statements: Reconcile bank statements and monitor account balances.
- Maintain Financial Records: Keep organized records of financial documents.
- Support Audits and Month-End Closings: Provide support during audits and month-end closing activities.
- Invoice Processing: Review, verify, and process invoices from vendors, ensuring that all necessary information is complete and accurate before payment.
- Payment Preparation: Prepare and process payments, including checks, ACH transfers, and credit card payments, ensuring timely disbursements and compliance with payment terms.
- Vendor Management: Maintain accurate and up-to-date vendor records, including contact information, payment terms, and any special instructions related to invoicing or payments.
- Account Reconciliation: Assist with reconciling accounts payable transactions, ensuring that vendor statements and internal records match and resolving discrepancies when needed.
- Ensure Department Standards: Maintain bookkeeping standards while ensuring that company policies and procedures are followed.
- Collaborate with Teams: Work cooperatively with the accounting specialist, administration specialist, and office operations manager.
Qualifications:
- Education: High School Education or equivalent combination of education and experience. An associate’s degree in accounting or related field is preferred.
- Experience: At least 1 year of experience in an accounts payable or similar administrative/accounting role.
- Team Player: Strong communication skills and the ability to support your team, even in challenging situations.
- Attention to Detail: Strong attention to detail and accuracy in processing invoices, payments, and reconciling accounts.
- Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
- Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with vendors, team members, and management.
- Problem-Solving Skills: Ability to identify and resolve discrepancies or issues related to accounts payable transactions and vendor communications.
- Technical Skills: Proficiency in Microsoft Excel (e.g., basic functions, formulas). Basic understanding of accounting principles, including accounts payable and general ledger.
Schedule: Flexible schedule, 20 - 24 hours per week between open hours of 8am -4:30pm Mon - Fri.
Pay: $26 - $30/hr., depending on experience
