Administrative Assistant

Full time- 1st shift

 

Responsibilities
• Handle and coordinate active calendars Google Platform- Calendar, Gmail, Drive, Docs, Notes and Microsoft 365

• Schedule and confirm meetings using Google Platform- Calendar, Gmail, Drive, Docs, Notes and Microsoft 365

• Ensure file organization based on office protocol
• Provide ad hoc support around office as needed
• Handle invoicing clients per contracts and verify payment is collected as expected.
• Create a vendor payment strategy using Progress billing based on open invoices and collections by using Computer Ease Book Keeping a Construction Based Accounting Software
• Ensure positive client and vendor relationships are maintained by managing contract work flow by managing change orders and work orders.
• Generate and Manage Master Subcontract Agreement and managing Certificate of Insurance Limitations for Contractors and Construction Lien Waivers

Qualifications
• Education – Associates degree in Accounting or Business.
• Experience and/or Training – 3 to 5 years of experience in accounting.
• Licenses/Certificates - Notary Public or ability to become one.
• Technology/Equipment – Ability to operate a variety of office equipment and Microsoft Office Programs, including proficiency in Word and Excel. Prior experience in finance/accounting software.
